IRS 2026: 72.5¢ a mile to June 30, 76¢ from July 1

Mileage reimbursement calculator 2026

Mileage reimbursement is your business miles times the rate per mile. For 2026 the IRS rate is 72.5¢ a mile for driving from January 1 to June 30 and 76¢ from July 1, so this calculator prices each trip by its date. If your employer pays its own rate, enter that instead.

IRS rates by trip date: 72.5¢ (Jan 1 to Jun 30, 2026, Notice 2026-10) and 76¢ (from Jul 1, Announcement 2026-11). Checked October 8, 2026 on irs.gov.

How mileage reimbursement is calculated

Reimbursement = business miles × rate per mile. When the rate changes during the year, total the miles on each side of the change date and price each part at its own rate. In 2026 the change date is July 1.

6,000 mi × $0.725 (Jan 1 to Jun 30) = $4,350.00
7,000 mi × $0.76 (from Jul 1) = $5,320.00
Total for 13,000 business miles = $9,670.00

At an employer rate of 65¢ for every mile, the same 13,000 miles pay $8,450.00, which is $1,220.00 less than the IRS figure. The calculator shows that comparison when you choose your employer's rate.

Older years are on the IRS mileage rate history page, and the July change is explained in 2026 IRS mileage rate: 72.5¢, then 76¢. Medical trips use the medical rate; how they count on a tax return, including the 7.5% floor, is on the medical mileage deduction page.

Employer rate or IRS rate

An employer can pay its own rate per mile; IRS Publication 463 describes allowances below, at and above the IRS rate. The IRS rate matters for tax, because Publication 463 uses the standard mileage rate as the federal rate for car allowances. Under an accountable plan (business miles, accounted for, any excess returned) the reimbursement stays out of box 1 of your Form W-2. If the allowance is higher than the federal rate, the part above it is reported as wages.

State rules: California and Texas

California

Labor Code section 2802(a) says an employer "shall indemnify his or her employee for all necessary expenditures or losses incurred by the employee in direct consequence of the discharge of his or her duties". Driving your own car for work is such a cost. The section sets no rate per mile and does not mention the IRS rate, so a per-mile figure (the IRS rate or another) is only a way of pricing the miles: the duty is to cover the necessary costs. Section 2802(b) adds interest to awards for unpaid reimbursement.

Texas

The Texas Workforce Commission's guidebook for employers says "Employers do not have to reimburse an employee's out-of-pocket business-related expenses", and warns employers not to make employees pay business costs that take their pay below the minimum wage. Texas state employees are a separate case: Government Code sections 660.041 and 660.042 entitle them to mileage at up to the maximum rate, which the Comptroller lists as 72.5¢ for January 1 to June 30, 2026 and 76¢ for July 1 to December 31, 2026. An agency may set a lower rate if it tells employees in writing first.

Other states are not covered here. Check your state labor department before relying on a state rule.

Mileage reimbursement in Excel

The Download CSV for Excel button saves your trips with the rate and amount for each one and a summary by rate period; Excel and Google Sheets open it directly. To keep a log all year, use the free Excel mileage log template, which applies 72.5¢ or 76¢ to each 2026 row by date. To hand the claim in on paper, the mileage reimbursement form opens with these trips and adds your details and signature lines.

Frequently asked questions

How do you calculate mileage reimbursement?

Multiply the business miles by the rate per mile. For 2026 the IRS rate depends on the date of the trip: 72.5¢ a mile from January 1 to June 30 and 76¢ from July 1. So 6,000 miles before July 1 and 7,000 after come to $4,350.00 plus $5,320.00, or $9,670.00. If your employer pays its own rate, multiply all business miles by that rate instead.

What is the IRS mileage reimbursement rate for 2026?

72.5¢ per business mile for January 1 to June 30, 2026 (Notice 2026-10) and 76¢ from July 1, 2026 (Announcement 2026-11). Medical and military moving: 20.5¢, then 23.5¢. Charity: 14¢ all year, set by law.

Do I use 72.5 or 76 cents a mile for 2026?

Use the rate for the date you drove. Announcement 2026-11 applies 76¢ to driving on or after July 1, 2026, and to allowances paid on or after that date for those trips. Trips before July 1 keep 72.5¢, even when the reimbursement is paid later.

Is mileage reimbursement taxable income?

Usually not, when it is paid under an accountable plan: the miles are for work, you account for them, and you return anything paid in excess. IRS Publication 463 says your employer then should not include the reimbursement in box 1 of your Form W-2. A mileage allowance above the federal rate (the IRS standard mileage rate) is different: the excess is reported as wages.

Does my employer have to pay the IRS rate?

Not under the federal tax rules. IRS Publication 463 treats the standard mileage rate as the federal rate for car allowances and describes allowances below it, at it and above it: up to the federal rate stays out of box 1 of your Form W-2, and any excess is taxed as wages. State law can ask for more: in California, Labor Code section 2802 requires employers to reimburse necessary work expenses in full.

Is mileage reimbursement required in California?

California Labor Code section 2802 requires an employer to indemnify an employee for all necessary expenditures incurred in direct consequence of the job, which includes driving a personal car for work. The section sets no rate per mile and does not mention the IRS rate, so a per-mile figure (the IRS rate or another) is only a way of pricing the miles: the duty is to cover the necessary costs.

Do Texas employers have to reimburse mileage?

The Texas Workforce Commission’s employer guide says employers do not have to reimburse employees’ out-of-pocket business expenses, but unreimbursed costs must not take pay below the minimum wage. Texas state employees are reimbursed per mile under Government Code sections 660.041 and 660.042, at no more than 72.5¢ (January 1 to June 30, 2026) and 76¢ (July 1 to December 31, 2026), the rates the Comptroller lists.

Can I calculate mileage reimbursement in Excel?

Yes. Download the CSV from the calculator: it opens in Excel or Google Sheets with one row per trip, the rate used and the amount, plus a summary by rate period. For a running log, the free Excel mileage log template applies the 2026 rate by date with formulas.

What records do I need for mileage reimbursement?

For each business trip: the date, the destination, the business purpose and the miles. IRS Publication 463 treats a log kept at or near the time of the trip as a timely record. The free log generator builds that log as a PDF from the trips you enter here.
